Sales / Orders
While all transactions can be viewed in the Vault under Transactions, viewing them in Store/Events provides information and functionality unique to Store Orders. Sales/Orders is located in the lefthand menu of Store/Events. When you toggle it open, there are three sections: Orders, Attendees, and Returns.
Orders (Menu Item)
Orders are searchable by customer name or order number. To view the information, click on the link under the Name Column, beginning with "Cart-" or under Action, click "View."
Tabs included in the record are Order Detail, Order Item Details(s), Related Transactions(s), Attendees, and Field Sets.
Order Detail Tab
At the top right of this tab are two buttons:
- Send Mail - click to resend receipt
- Issue Credit - click to issue credit, sending email confirmation if desired.
Credit may be issued for:
- Credit Cards
- Bank Account Transactions
- Amazon Pay
- Apple Pay/GPay
- PayPal (if accepted by your organization)
Non-credit card orders such as free transactions or those using custom payment types may also be "credited." This allows for those attendees to show as "credited" in the attendee reports so you will know that registration has been cancelled.
The Transaction information section includes the store name, coupon information, and any customer comments left at checkout. There are also sections with Payment and Billing information.
Order Item Detail(s) Tab
If there are options associated with an order, there will be a blue Show Options link under the item name. Clicking on it will cause the options to display. If there was a file upload option, such as a logo for an event sponsorship, it can be accessed here.
Under Action on the right, you may view the order history. Here you can change the status of an order. This is useful for items requiring shipping.
Related Transaction(s) Tab
You may also issue a credit here, clicking on the three dots under Action on the right.
Attendees Tab (within an Order record)
Attendees are searchable by customer name (the name associated with the payment) or order number. To view the information, click on the link under the Name Column, beginning with "Cart-" or under Action, click "View." Do not click on the Customer Name - this will open another area.
All attendees included in the order will be listed here. To view each Attendee's Details, click on their name or on the Action dots the right. This will open their attendee information which can also be accesses from the Attendee menu item outlined below.
Send Ticket – Use the blue button at the upper right to send the attendee a ticket if they did not receive.
Check-in/Check-out – Under Check-in and Check-out Information, click Edit to check a guest in or out. Internal notes may be added such as "VIP Speaker - take to the Board Chair." Check the box to allow internal note(s) to be updated in Swiper1.
Attendee Information – Under Attendee Information, click Edit to update their name and/or answers to custom questions.
Field Sets Tab
Edit the Contact associated with the transaction if needed.
Attendees (Menu Item)
The Attendees menu item shows all attendees individually, not by order as in the Attendee Tab above. To locate a specific attendee, you may use the search field at the top. Or use the filter section at the right to find an individual or group of attendees, using the Attendee Name, Order Number, Status, or Ticket Amount. Under Action to the right of each attendee listed, click View to open the attendee tab described above.
Temporary Contacts who are Attendees are processed in this area.
Returns (Menu Item)
Orders that have been credited appear here. Under Action, click “View” to open the Order Detail Tab described above.
