Instructions to Minimize Issues in Delivery of Receipts and Invoices
In order to minimize issues in delivery of invoices and receipt of your email copy you should:
1. For the best delivery results, make sure that the FROM: address is "donotreply@clickandpledge.cc". With current reputation checking mechanisms, such as SPF and DKIM, the best choice is to set the FROM address to use the same domain that we use to send those emails.
EXTREMELY IMPORTANT: We do not recommend using any FROM address other that the one we provide above. If you feel that you must use an account within your domain as the "FROM" address, please test it extensively. You will need to configure additional settings to provide the best chance for delivery. We provide these in a section below. BE SURE TO test all setting changed for deliverability to both your Internal Notification and to the donor's addresses. Be aware that the likelihood of receipts being flagged as SPAM will increase dramatically if you use your own domain's email address as the FROM address.
2. Make the Reply To Email address an address that uses the organization's web domain. Do not use a free email address (e.g. AOL, yahoo, MSN, Hotmail or Gmail) as the Reply To Email address. If you don't host your own website, the vast majority of hosting companies either provide an email in their package or at least allow you to forward a domain email account to some other email. The forwarding option will allow you to use a domain account as the Reply-To Email and forward it to one a free address.
3. NEVER use the same email addresses for the Reply-To or From Email address as the Internal Notification address. Even for "in-house" emails, when you safelist IP addresses (discussed in #5), having the same TO and FROM email address may still cause a rejection by your mail server, depending on how its spam-rejection tests are setup.
4. Have more than one email address for your Receipt Setting's Internal Notification. This ensures that at least one email account should get any given payment receipt. You may enter additional emails addresses and they must be separated with a semicolon. We recommend that at least one of the notification email addresses be at a different domain. The outside address can be a "freemail" account such as Gmail, Hotmail, Yahoo, etc.
Instructions to use your own Domain for the FROM email address (Not recommended)
If you choose to use an email from your own domain for the FROM email address, we recommend you do the following. Again using your own domain for the FROM address is not recommended by Click & Pledge and may result in your receipts being flagged as SPAM.
1. Both you and your donors need to view the email receipts as legitimate. Therefore, if your organization's DNS servers include SPF (Sender Policy Framework) records for your domain, Click & Pledge's receipt email servers need to be declared as legitimate senders for your domain. If you are not using an SPF then you should add one. If you are unfamiliar with the record type, you can use this SPF record generator tool to build one.
Once you have added your domain's email servers to the SPF record you need to add the following text in your SPF:
include:_custspf.clickandpledge.cc
This will allow receiving email servers, including your own, to know that you approve of email being sent on your behalf by Click & Pledge.
Your final SPF record should look similar to this: (this domain uses Office 365 for the user email accounts)
v=spf1 include:spf.protection.outlook.com include:_custspf.clickandpledge.cc ~all
NOTE: If you are modifying an existing SPF record, be sure the last item is ~all and not -all. Use a tilda not a dash before the word "all."
2. If your domain has a DMARC DNS record, make sure the "adkim" variable is set to "r" (relaxed). We also recommend you set "p" to "non" initially and then set it to "quarantine" after checking for delivery with DMARC policy set to "none." This will allow you to determine whether SMARC affects delivery.
3. Make sure your email server is not blocking Click & Pledge's emails. Provide the following IP addresses to your IT administrator to ensure your that email from Click & Pledge is not flagged as spam.
4. Email security requirements are evolving. Primary services like Google, Microsoft, Rackspace, etc. can change their delivery criteria at any time. Because of this we recommend you check the deliverability of your receipts regularly and make adjustments when necessary.
Click & Pledge IP addresses
The following IP addresses are provided for your information. They do not need to be added separately.
Here are the IP addresses that Click & Pledge receipts are sent from and are included in the _custspf.clickandpledge.cc DNS record:
- o2.receipt.clickandpledge.cc : 208.117.50.171
- o4.receipt.clickandpledge.cc : 50.31.44.75
- o5.salesforce.clickandpledge.cc : 192.254.123.144
- o6.salesforce.clickandpledge.cc : 192.254.126.246
- mg212.clickandpledge.com: 69.72.47.212
Locate Your Account's Receipt Settings
- Login to your Connect account.
- Go to Launcher > Settings > Messaging & Receipt > Messaging/Receipt Settings. CONNECT Campaigns use these Messaging/Receipt settings but you may customize the receipt settings for each Campaign.
Best Practice for Internal Notification Fields
A best practice is to have more than one email address for ‘Internal Notification’. This ensures that at least one email gets a copy of a payment receipt. Add emails addresses by separating with a semicolon.
Salesforce User Considerations
If you use Salesforce to create email Autoresponders, you and your patrons may need to safelist Salesforce email server IP addresses .
